Multi Packaging Limited is seeking to recruit a full-time Office Clerk. The selected candidate will provide essential administrative support, assist with sales documentation and help ensure smooth day-to-day operations. S/he must be an energetic individual, with strong attention to detail and excellent communication skills, whilst maintaining the highest standard of good practice.
Job Purpose:
Managing customer demands and processing sales orders up to delivery;
Maintaining adequate stock levels for on- call customers and proactively liaising with the Sales Team and Operations Department, thus ensuring that delivery due dates are adhered to;
Supporting the Sales Team in Selling Price Calculations, Client follow-up;
Representing the organization in its mission, culture and values;
Handling all communication related to Export clients’ orders and processing.
Duties and Responsibilities for Local and Export Sales Co-Ordinator:
Processing and acknowledging customer demands and incoming orders local and export;
Communicating with customers on PO / Demand forecasts clarifications, inventory availability or agreed dates;
Processing finished goods, product BOMs and item pricing in the software sales system;
Creating and Processing new CRTs and PRTs;
Generating work tickets and distributing orders to the Design Department;
Coordinating with the Operations Department and ensure that delivery due dates are adhered to;
Working out the price calculations with the input of the Sales team and preparing groundwork for the respective sales representatives to finalize pricing for the client with his/her manager;
Ensuring that MPL stock level per client is maintained;
Providing reports and other relevant information for the Sales Team and clients;
Preparing reports on order book status and sales performance;
Calculating the quantity of goods that can fit into the trailers/containers once the information is received from the client
communicating with transportation agents to maintain on-time delivery (OTD) and complete customer satisfaction;
Ensuring shipments are planned, booked and properly loaded till dispatch;
Preparing all export-related documents (packing list and CMRs);
Keeping records of goods dispatched and received;
Escalating delivery issues to Management.
Others:
Supporting the sales team in their daily routine work;
Answering telephone calls in a courteous and friendly manner, obtain the caller’s name and the Company from
which he/she is calling, ask subject matter and transferring call promptly and accordingly;
Assisting in other clerical and administrative duties, such as filing of Goods Received Notes and sales administration paperwork, including clients’ Purchase Orders;
Keeping oneself updated on Company activities/products/services to answer enquiries in a professional manner;
Ensuring a high quality/standard of work and service throughout;

Requirements:
Clerical experience – preferably with accounts background, and Microsoft offices packages (Word, Excel, PowerPoint).
