As a result of our continuous growth, a vacancy has arisen for an Office Administrator to form part of its growing and successful team.
The overall purpose of the Office Administrator is to ensure the smooth and efficient operation of the office and workplace. The office administrator would play a critical role in managing the day-to-day administrative tasks and providing essential support to the organization and its employees, whilst keeping a positive attitude and excellent working environment.
The chosen candidate will be reporting to the General Manager and will be responsible for executing the following main duties amongst others:
- Overseeing the day-to-day operations of the office, ensuring a well-organized and efficient work environment. Managing office supplies, equipment, and facilities to ensure they are well-maintained and adequately stocked;
- Handling incoming and outgoing correspondence, including emails, phone calls, and postal mail. Serving as a point of contact for internal and external communications, relaying messages to the appropriate individuals;
- Coordinating appointments, meetings, and events for the office and staff members;
- Invoicing and billing, including preparing invoices, and following up on overdue accounts;
- Interacting with customers or clients, providing information, support, and assistance as required; Maintaining a positive and professional image when dealing with external stakeholders;
- Assisting in the planning and coordination of office events, meetings, and conferences;
- Building and maintaining positive relationships with colleagues and external contacts. Serving as a helpful and approachable resource for staff;
- Ensuring that office policies and procedures are adhered to and helping develop or update them as necessary. Communicating and enforcing office policies among staff.
The ideal candidate shall:
- Be competent in using Microsoft Office programs, and other computer skills;
- Be a resident in Malta;
- Have a driving license;
- Have excellent communication and listening skills, a positive attitude, and a resilient character;
- Experience in similar job roles is considered an asset.
